Human Resources Assistant – L.A

Dear Media is seeking a Human Resources & Office Assistant who loves engaging with people, enjoys the work they do, and is looking to learn and provide human resources and operations support to a growing company. This person must be able to exercise good judgment, anticipate needs, and perform in a professional and discrete manner. The ideal candidate will bring a high degree of creativity, energy and passion for working with the HR Manager to increase organizational productivity through the following:

RESPONSIBILITIES:

  • Handle Receptionist duties including greeting guests, answering, screening, and forwarding incoming phone calls, validating parking, setting up conference rooms for department or companywide meetings
  • Maintain the upkeep of the office common areas (reception, conference rooms, kitchen, etc.)
  • Handle processing employee life cycle events: new hires, terminations, leaves, etc.
  • Provide the best onboarding experience for new hires during set-up and new hire orientation
  • Keep HR records, personnel files, and various department trackers up to date
  • Post recruitment jobs to appropriate sites and help sort through incoming resumes
  • Assist in executing cultural and HR events
  • Partner with the HR Manager and team on project implementation and initiatives
  • Provide administrative support to the HR Manager (i.e. scheduling meetings and interviews) and maintain the utmost discretion with sensitive information
  • Assist with internal agency communications
  • Track and maintain inventory reports, order office supplies and snacks as needed
  • Act as initial contact for office operational issues
  • Assist with studio needs (i.e greeting talent, ensuring needs are met when on-site to record, being a go-to information resource, and troubleshooting as issues arise)
  • Manage assigned projects and tasks to completion in a timely manner
  • Additional duties, tasks, and responsibilities as assigned

QUALIFICATIONS:

  • Excellent customer service and follow up skills
  • Minimum one to two years of experience as an administrative assistant, preferably within an HR department
  • Previous media or talent agency or related industry experience is preferred but not required
  • Strong written, verbal, and visual presentation skills
  • Excellent interpersonal skills; ability to interact with all personality types and behaviors; flexibility
  • Experience and ability to work efficiently in a fast-paced environment with a high-volume email/workload
  • Ability to meet deadlines and adjust to changing priorities
  • Ability to solve problems, take ownership and accountability
  • Strong working knowledge of Microsoft Office applications including Excel, Word, PowerPoint, and Outlook
  • Proactive, organized, and detail-oriented work style
  • Ability to work against deadlines
  • Ability to act professionally and with discretion and confidentiality

  • Google E-mail / Docs / Calendar (a must)
